Accounts Payable Coordinator

MassDevelopment is accepting applications for an Accounts Payable Coordinator in our Finance and Accounting Department. Due to COVID-19, this position will be 100% remote to start until normal operations are resumed at which time the position will be located in Devens, MA. 

The Accounts Payable Coordinator will be an integral member of MassDevelopment’s Finance and Accounting team. The position involves processing invoices and purchase orders for timely payment to vendors, generating accounts payable financial reports, and providing administrative and clerical support, as needed, for MassDevelopment, the Jodrey State Pier, Cape Ann Fisheries, and the Devens Regional Hazardous Products Center.

Essential Functions

  • Process invoices and purchase orders for timely payment to vendors.
  • Process accounts payable entries via data entry to accounts payable system.
  • Approve budget for purchase orders requests submitted in the ePRF system.
  • Approve budget for the Business Expense Form.
  • Review and verify all invoices in accordance with the Agency’s policies and procedures.
  • Process registration and payment for employees’ approved seminars and conferences.
  • Generate pre-check register and submit to Accounting Supervisor for review and approval.
  • Process weekly check runs for vendors. 
  • Work closely with Gloucester State Pier Director to ensure timely processing of AP payables.
  • Maintain all accounts payable files including invoices, copies of checks paid, and purchase orders.
  • Prepare accrual import at month end.
  • Provide information in response to all vendor inquiries.
  • Contact vendors as needed.
  • Assist in month-end close – accounts payable.
  • Assist with gathering 1099 information.
  • Provide assistance with the accounts payable portion of the MassDevelopment year-end audit.
  • Perform other related duties as assigned.

Minimum Qualifications

  • Associate degree in accounting/finance. 
  • 3+ years of accounts payable experience, or a combination of education and experience. 
  • Excellent communication and organizational skills.
  • Attention to detail and extreme accuracy.
  • Proficiency in Microsoft Suite applications, specifically Word and Excel. 

Preferred Qualifications

  • Bachelor’s degree in accounting/finance.
  • Knowledge of Great Plains accounting software.
  • Bilingual.
